Introduction<\/strong><\/p><p class=\"p1\">Artificial intelligence technology has played a vital role in enhancing the company's operational efficiency, ranging from creating new content, searching and analyzing data, and predicting trends to assisting with decision-making in business processes through AI systems. The adoption of artificial intelligence to support internal business operations and customer service is a key factor in driving efficiency, fostering innovation, and upgrading competitive capabilities. However, the use of artificial intelligence comes with a wide range of risks and considerations, such as risks from biased decision-making, model errors, a lack of transparency in reasoning, data and model security, misuse of artificial intelligence systems, and personal data breaches. Therefore, a clear AI governance framework is essential to ensure that the company's procurement, development, and application of artificial intelligence are conducted responsibly, transparently, and in compliance with relevant laws, standards, and principles at both national and international levels, while building trust among all relevant stakeholders.<\/p><p class=\"p1\">Therefore, an Artificial Intelligence Policy has been established to serve as a framework for the governance and management of artificial intelligence systems, and to control the risks associated with the procurement, development, and application of the company's artificial intelligence to an acceptable level. This policy shall be reviewed at least once a year or whenever there is a significant change.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>2. Objectives<\/strong><\/p><p class=\"p1\">This Artificial Intelligence Policy is prepared with the following objectives:<\/p><p class=\"p1\">1) To establish a framework for the governance and management of the company's artificial intelligence systems in a responsible, transparent, and auditable manner, focusing on compliance with relevant laws, regulations, and standards.<\/p><p class=\"p1\">2) To ensure that the risk management for the company's acquisition, development, and application of artificial intelligence is at an acceptable level.<\/p><p class=\"p1\">3) To promote fairness, transparency, security, and personal data protection, as well as to build confidence among relevant stakeholders.<\/p><p class=\"p1\">4) To support the continuous development and improvement of the company's artificial intelligence system usage in alignment with international standard ISO \/ IEC 42001<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>3. Scope<\/strong><\/p><p class=\"p1\">This Artificial Intelligence Policy has a scope that covers the adoption of all types of artificial intelligence system technologies that the organization procures, develops, and applies to support internal business operations and customer service of the company, which is applicable to working groups related to the artificial intelligence management system, executives, employees, staff, operators, and contractors assigned to perform tasks according to the company's mission.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>4. Definitions<\/strong><\/p><p class=\"p1\">\u201cCompany\u201d means yipintsoi next company limited and its affiliates, etc.<\/p><p class=\"p1\">\u201cExecutive\u201d means employees from the level of Assistant Director or equivalent upwards, up to the President and Chief Executive Officer.<\/p><p class=\"p1\">\u201cSupervisor\u201d means a manager, assistant director, director, or person authorized to oversee the user's performance within the responsible line of work.<\/p><p class=\"p1\">\u201cEmployee\u201d means all levels of employees of the Company.<\/p><p class=\"p1\">\u201cContractor\u201d means a person or legal entity that has signed as a contracting party with the Company, including agents, employees, or subcontractors who are under the responsibility of the contractor pursuant to that contract.<\/p><p class=\"p1\">\u201cArtificial Intelligence Management System Steering Committee (AIMS Steering Committee: AIMS-SC)\u201d means a committee consisting of senior executives from relevant departments who provide support in the establishment, operation, review, and improvement of the company\u2019s AIMS system to determine the direction, policies, objectives, and scope, and to support the resources necessary for the governance and management of the artificial intelligence system.<\/p><p class=\"p1\">\u201cArtificial Intelligence Management Representative (AIMR)\u201d means the company's management representative who is responsible for overseeing the establishment, implementation, review, and improvement of the company's AIMS.<\/p><p class=\"p1\">\u201cArtificial Intelligence Management Assistant (AIMA)\u201d means the person or team responsible for supporting the AIMR to ensure that the management of the AIMS complies with the requirements of the international standard ISO \/ IEC 42001<\/p><p class=\"p1\">\u201cArtificial Intelligence Management System Core Team (AIMS-CT)\u201d means a working group appointed with representatives from various units, responsible for developing, managing, planning, and executing the core activities of the AIMS system to manage the artificial intelligence system in compliance with the international standard ISO\/IEC 42001, as well as relevant laws, regulations, policies, and operating procedures.<\/p><p class=\"p1\">\u201cArtificial Intelligence Management System Internal Auditor (AIMS-IA)\u201d means a person assigned to conduct internal audits of the company's Artificial Intelligence Management System in accordance with the requirements of the ISO \/ IEC 42001 standard.<\/p><p class=\"p1\">\u201cAI System Owner means the agency or department that owns the artificial intelligence system, which procures, develops, or adopts the artificial intelligence system within the company to support internal business operations and support the delivery of digital and information technology solutions to customers.<\/p><p class=\"p1\">\u201cArtificial Intelligence System Developer Agency (AI Developer)\u201d means an entity responsible for developing artificial intelligence systems to support internal business operations within the organization and to support the provision of digital and information technology solutions to customers.<\/p><p class=\"p1\">\u201cAI User\u201d means a person who uses artificial intelligence systems and company data to support the company's business operations, including executives, staff, employees, operators, and contractors assigned to carry out the company's tasks.<\/p><p class=\"p1\">\u201cPolicy\u201d means Artificial Intelligence Policy<\/p><p class=\"p1\">\u201cAIMS System\u201d means the Artificial Intelligence Management System (AIMS).<\/p><p class=\"p1\">\u201cArtificial Intelligence Ethical Principles (AI Ethical Principles) refers to the principles for designing and developing the behavior or output of AI to align with ethical principles or best practices according to the context in which AI is applied.<\/p><p class=\"p1\">\u201cArtificial Intelligence (AI) refers to technology developed to enable the processing systems of computers, robots, machines, or various electronic devices to possess qualities or behaviors similar to humans according to human-determined objectives, such as learning, perceiving and responding to environments, reasoning, and problem-solving, among others.<\/p><p class=\"p1\">\u201cAI System\u201d means a machine-based system that is designed to operate with varying levels of autonomy and that can, for explicit or implicit objectives, generate outputs such as predictions, content, recommendations, or decisions that can influence physical or virtual environments.<\/p><p class=\"p1\">\u201cGenerative AI technology\u201d refers to a type of artificial intelligence technology capable of creating new content in various formats based on text or prompts defined by humans, such as text, images, video, source code, or other formats.<\/p><p class=\"p1\">\u201cModel, or Artificial Intelligence Model (AI Model), refers to a program or set of conditions created from algorithms and human-trained data to process information so that computers possess human-like qualities or behaviors.<\/p><p class=\"p1\">\u201cTraining or model training refers to the process of setting or updating the parameters of a machine learning model using a machine learning algorithm and training data as the basis for learning.<\/p><p class=\"p1\">\u201cBias\u201d refers to a systematic difference in the treatment of certain objects, individuals, or groups compared to others.<\/p><p class=\"p1\">\u201cHuman-in-the-loop\u201d means human participation in controlling operations or making all decisions, with AI\/ML serving to provide recommendations or information.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>5. AI Ethical Principles<\/strong><\/p><p class=\"p1\">The Artificial Intelligence Policy is a key component in governing the procurement, development, and application of artificial intelligence, as well as the management of the company's artificial intelligence systems. The artificial intelligence policy is established in alignment with the following artificial intelligence ethical principles:<\/p><p class=\"p1\">5.1 Accountability: Be accountable for the operation, decision-making, and consequences resulting from the deployment and use of artificial intelligence systems. Establish management structures, roles, and responsibilities, as well as promote knowledge and understanding of ethical principles and risk management for artificial intelligence systems.<\/p><p class=\"p1\">5.2 Transparency and Explainability: Design, develop, and use artificial intelligence systems with transparency by providing sufficient information to stakeholders, such as the capabilities and limitations of the artificial intelligence system, while considering the ability to explain the scope and operating principles of the artificial intelligence, as well as ensure traceability for activities that take place.<\/p><p class=\"p1\">5.3 Fairness: Design, develop, and use artificial intelligence systems with consideration for fairness, equality, and social diversity to prevent any individual or specific group of individuals from facing discrimination.<\/p><p class=\"p1\">5.4 Privacy: Personal data used for training, testing, and operation in artificial intelligence systems is protected. There is no unauthorized collection, use, or disclosure of personal data, in compliance with personal data protection principles, laws, and relevant regulations.<\/p><p class=\"p1\">5.5 Robustness and Security: There are control measures to prevent errors, ensure that the artificial intelligence system operates correctly according to its objectives under a variety of situations, and protect against information security threats, covering the entire lifecycle of the system.<\/p><p class=\"p1\">5.6 Compliance with Laws and Ethics: Design, develop, and use artificial intelligence systems in compliance with relevant laws and ethical principles. Consider the appropriateness of AI usage, and use laws and ethics as the foundation for the design, development, and deployment of artificial intelligence systems.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6. Guidelines for the procurement, development, and application of artificial intelligence<\/strong><\/p><p class=\"p1\"><strong>6.1 Policies Related to AI<\/strong><\/p><p class=\"p1\">1) The Artificial Intelligence Management System Committee must consider and approve the formulation or review of policies related to artificial intelligence, and ensure that they are disseminated to artificial intelligence system users, employees, and relevant agencies for their awareness.<\/p><p class=\"p1\">2) The Artificial Intelligence Management System Working Group must formulate or review AI-related policies to ensure integration and alignment with other company policies, such as the Information Security Policy and the company's Privacy Policy, among others.<\/p><p class=\"p1\">3) The Artificial Intelligence Management System Working Group must review policies related to artificial intelligence and propose them to the Artificial Intelligence Management System Committee at least once a year or whenever there is a significant change.<\/p><p class=\"p1\">4) Artificial intelligence system users must strictly comply with AI-related policies established by the company. In the event that external parties, contractors, or external service providers are under the supervision of the unit, the relevant parts of the policies must be communicated to them for acknowledgement and implementation.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.2 Internal Organization<\/strong><\/p><p class=\"p1\">1) The Artificial Intelligence Management System Committee must define the operational duties and responsibilities related to the company's artificial intelligence system to ensure control and oversight in information technology, ethics, laws, or regulations concerning the artificial intelligence system.<\/p><p class=\"p1\">2) The AI Management System Core Working Group must define and establish an AI Incident Management Procedure as follows:<\/p><p class=\"p1\">\u2013 Establish channels for reporting issues or concerns arising from the use of artificial intelligence systems, and continuously monitor the resolution of or response to such issues or concerns.<\/p><p class=\"p1\">- In cases of high risk or potential impact on the reporter, the identity of the reporter of issues or concerns arising from the use of the artificial intelligence system should not be disclosed, and their information must be kept confidential.<\/p><p class=\"p1\">\u2013 There is appropriate communication and public relations regarding channels for reporting issues or concerns arising from the use of artificial intelligence systems.<\/p><p class=\"p1\">\u2013 Assign qualified personnel to manage issues or concerns arising from the use of artificial intelligence systems.<\/p><p class=\"p1\">3) Artificial intelligence system users must strictly comply with the roles, duties, and responsibilities associated with the use of artificial intelligence systems.<\/p><p class=\"p1\">4) Artificial intelligence system users must immediately report concerns regarding the use of the artificial intelligence system to the Artificial Intelligence Management Assistant (AIMA) in the event that errors occur in the use of the artificial intelligence system, or if issues are identified in both data input and output generation that may have a negative impact on the company, individuals, and society.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.3 Resources for AI Systems<\/strong><\/p><p class=\"p1\">1) The Core Working Group for Artificial Intelligence Management System must establish a Resources for AI Systems Management Procedure to understand risks, verify resource readiness prior to the development or deployment of artificial intelligence systems, as well as review and update such documents to ensure they are current.<\/p><p class=\"p1\">2) The agency owning the artificial intelligence system must record the details of the data used in the artificial intelligence system, covering topics specified by the artificial intelligence-related resource management operating procedures, such as data sources and data types, among others.<\/p><p class=\"p1\">3) The AI system owner agency must record details regarding the tools or models used in the artificial intelligence system to ensure transparency and to be able to manage risks that may arise from the tools or models in use, such as algorithms, models, or software related to the artificial intelligence system, etc.<\/p><p class=\"p1\">4) The AI system owner agency must record details regarding system and computing resources used in the artificial intelligence system to ensure that the readiness, risks, and impacts of deploying the artificial intelligence system can be assessed, such as hardware used for developing and running models, and storage space, among others.<\/p><p class=\"p1\">5) The agency owning the artificial intelligence system must record details regarding human resources related to the artificial intelligence system to ensure coverage of the development and effective control of the artificial intelligence system, such as personnel with expertise in artificial intelligence system development and artificial intelligence system maintenance, etc.<\/p><p class=\"p1\">6) The Human Resources department, in collaboration with the main working group for the artificial intelligence management system and related agencies, must support personnel development to enhance knowledge, capabilities, and skills regarding artificial intelligence systems for system users within the company.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.4 Assessing Impacts of AI Systems<\/strong><\/p><p class=\"p1\">1) The main working group for the artificial intelligence management system must establish an AI System Impact Assessment Procedure to consider potential impacts on individuals, groups of persons, and society, taking into appropriate account the intended use, technological complexity, and data sensitivity, as well as review and update such documentation to keep it current.<\/p><p class=\"p1\">2) The artificial intelligence system owner agency must follow the artificial intelligence system impact assessment operating procedures after receiving approval to use or develop the artificial intelligence system from the Artificial Intelligence Management System Committee.<\/p><p class=\"p1\">3) The agency owning the artificial intelligence system must assess the impact of the artificial intelligence system on individuals and groups of individuals in accordance with the artificial intelligence system impact assessment operating procedures, such as in the areas of fairness, accountability, safety, privacy, and human rights, among others.<\/p><p class=\"p1\">4) The agency owning the artificial intelligence system must assess the social impact of the artificial intelligence system in accordance with the artificial intelligence system impact assessment operating procedures, considering both positive and negative impacts across various dimensions, namely environmental, economic, political, health, and cultural.<\/p><p class=\"p1\">5) The AI Management System Core Working Group must collect the documents of the AI system impact assessment for each system developed or applied within the company, as well as manage, store, review, and update such documents according to the review cycle or when there is a significant change.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.5 AI Risk Management<\/strong><\/p><p class=\"p1\">1) The Artificial Intelligence Management System Core Working Group must establish an AI System Risk Management Procedure in alignment with the company's risk management framework, serving as a guideline for appropriate risk management throughout the lifecycle and development of artificial intelligence systems.<\/p><p class=\"p1\">2) The AI system owner agency must conduct a risk assessment and implement appropriate measures for managing and controlling AI system risks at least once a year to determine the risk status and the effectiveness of the control measures implemented, in order to review and make appropriate improvements.<\/p><p class=\"p1\">3) The AI Management System Core Working Group must report the risk assessment results and the status of AI system risk management and control to the AI Management System Committee.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.6 AI System Life Cycle<\/strong><\/p><p class=\"p1\"><strong>6.6.1 Management Guidelines<\/strong><\/p><p class=\"p1\">1) The main working group for the artificial intelligence management system must establish an AI System Development Lifecycle Management Procedure to ensure that the artificial intelligence system is appropriately controlled, as well as review and update such documentation to keep it current.<\/p><p class=\"p1\">2) The AI system owner agency must define business requirements and Responsible AI Objectives throughout the AI system development life cycle, such as Accountability, Transparency and Explainability, Fairness, Privacy, Robustness and Security, as well as Compliance with Laws and Ethics.<\/p><p class=\"p1\">3) Design and development of artificial intelligence systems featuring decision-making processes for operations or service provision. The owner of the artificial intelligence system and\/or the artificial intelligence system development agency must ensure that operations are conducted transparently, fairly, without discrimination, and without resulting in outcomes that may lead to inequality, by applying human-centric design and development principles and maintaining the right for humans to retain ultimate decision-making authority (Human Centric \/ Human-in-the-loop).<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.6.2 Artificial Intelligence System Life Cycle<\/strong><\/p><p class=\"p1\">1) The AI system owner agency and\/or AI system developer agency must establish AI system requirements for new AI systems and for the significant modification of existing AI systems, to ensure that the AI systems continue to meet corporate objectives, customer requirements, or established policies.<\/p><p class=\"p1\">2) The AI system owner and\/or AI system developer agency must prepare documentation on the design and development of the AI system, based on the AI system requirements and the objectives of responsible AI development, as well as operational procedures for managing resources related to the AI system, such as selected algorithms, data sources, etc.<\/p><p class=\"p1\">3) The AI system owner agency and\/or the AI system development agency must inspect and test the AI system to certify that the AI system procured or developed by the company has quality, security, and accountability in accordance with AI ethical principles.<\/p><p class=\"p1\">4) The AI system owner agency must have a plan for implementing the AI system, ensuring that the system has been thoroughly tested and that the impacts on users and stakeholders are considered prior to actual deployment.<\/p><p class=\"p1\">5) In the event of any changes to the artificial intelligence system, the artificial intelligence system owner agency and \/ or the artificial intelligence system development agency must comply with the AI System Change Management Procedure.<\/p><p class=\"p1\">6) The AI system owner agency and\/or the AI system development agency must have guidelines for operation, auditing, problem response, and performance evaluation of the AI system to ensure that the system operates safely, aligns with design goals, does not negatively impact users or society, and complies with legal requirements and stakeholder needs, such as auditing system errors and failures, updating the system, and retraining the model when necessary or when the original model can no longer fulfill its intended objectives, among others.<\/p><p class=\"p1\">7) The AI system owner and\/or AI system developer agency must prepare technical documentation of the AI system suitable for each group of stakeholders, including users, partners, or regulatory agencies, by considering the scope details of the AI such as instructions for use, capabilities and limitations of the AI system, details regarding data used for development, data quality management, and risk control, among others.<\/p><p class=\"p1\">8) The AI system owner agency and\/or the AI system development agency must provide event logging for the AI system to enable retrospective auditing and handle risks that may arise from system malfunctions or operations exceeding defined usage scopes, such as the date and time of usage, data used for processing, unexpected results from system processing, and critical incidents affecting users or the AI system, among others.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.7 Data for AI Systems<\/strong><\/p><p class=\"p1\">1) The Artificial Intelligence Management System Core Working Group must establish an AI data management procedure, as well as review and update such documentation to keep it current.<\/p><p class=\"p1\">2) The agency owning the artificial intelligence system and\/or the agency developing the artificial intelligence system must appropriately manage data for the development and improvement of the artificial intelligence system, such as controlling privacy impacts and data security, etc.<\/p><p class=\"p1\">3) The AI system owner agency and\/or the AI system development agency must establish guidelines for the procurement and selection of data used to develop the AI system, with documentation and control of relevant details to ensure that the data is appropriate, secure, and legally compliant, such as data sources, copyrighted data, and data usage history, etc.<\/p><p class=\"p1\">4) The AI system owner and\/or the AI system developer agency must establish data quality requirements to ensure that the data used for the development and operation of the AI system is of sufficient quality. Data quality should be checked and measured, such as training data, validation data, test data, etc.<\/p><p class=\"p1\">5) The AI system owner agency and\/or the AI system development agency must verify and record the data provenance to ensure the transparency and reliability of the data used in the development and operation of the AI system, covering creation, updating, modification, transfer, sharing, or transformation of data throughout the data and AI system lifecycle.<\/p><p class=\"p1\">6) The AI system owner agency and\/or the AI system development agency must establish criteria for data preparation for the development and use of AI systems, considering the characteristics of the data and the requirements of the algorithms used, to ensure that the data used is of appropriate quality and does not cause errors in the operation of the AI system, such as data splitting and data cleansing, among others.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.8 Information for Interested Parties<\/strong><\/p><p class=\"p1\">1) The AI System Management Core Working Group must establish an Information for Interested Parties of AI System Management Procedure, as well as review and update such documentation to keep it current.<\/p><p class=\"p1\">2) The AI system owner agency and\/or the AI system development agency must prepare the necessary documents and information for AI system users to ensure a proper understanding of the operation, purpose, capabilities, and limitations of the AI system.<\/p><p class=\"p1\">3) The AI system owning agency must inform AI system users that they are interacting with an AI system, such as indicating that the message responding to the user is generated by AI processing.<\/p><p class=\"p1\">4) Information for AI system users should be in a format accessible to users, such as user manuals, system notifications, websites, etc., and it must be ensured that the information is accurate, complete, and up-to-date.<\/p><p class=\"p1\">5) The AI system owner agency must provide channels for contact or reporting errors arising from the use of the AI system to promote transparency and accountability, as well as to improve the system and prevent errors from recurring in the future.<\/p><p class=\"p1\">6) The agency owning the artificial intelligence system must systematically evaluate and respond to error reports arising from the use of the artificial intelligence system, such as recording, investigating, and taking appropriate corrective action.<\/p><p class=\"p1\">7) The company must establish guidelines for communicating security incidents when an event occurs that may impact information security or privacy, such as a data breach. This includes appropriately notifying AI system users or stakeholders according to the nature of the incident, in compliance with legal requirements or regulatory regulations.<\/p><p class=\"p1\">8) The company must establish communication channels for security incidents, covering both internal and external parties, along with incident tracking and logging, in order to review and prevent the recurrence of incidents in the future, such as defining the types of incidents encountered and the departments that must be notified, etc.<\/p><p class=\"p1\">9) The company must establish and document information disclosure related to the artificial intelligence system for stakeholders, such as regulatory agencies or government authorities, as necessary and in accordance with legal requirements, among others.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.9 Use of AI Systems<\/strong><\/p><p class=\"p1\">1) The main working group for the artificial intelligence management system must establish guidelines for the responsible use of artificial intelligence systems, taking into account the context, characteristics of the artificial intelligence system, potential impacts on the company, and relevant stakeholders, regardless of whether the artificial intelligence system is developed internally within the company, developed by external service providers, or procured externally.<\/p><p class=\"p1\">2) The company must establish processes for requesting usage approval, maintenance, and performance monitoring of artificial intelligence systems, as well as verifying their sources, in compliance with safety, reliability, and relevant legal requirements.<\/p><p class=\"p1\">3) The company must recognize the importance of using artificial intelligence systems for their intended purposes, serving as a guideline for the appropriate procurement, development, deployment, and management of artificial intelligence systems within the company in accordance with the organizational context.<\/p><p class=\"p1\">4) Users of the artificial intelligence system must strictly comply with the Generative AI Acceptable Use Policy.<\/p><p class=\"p1\">5) The AI system owner agency must continuously monitor the operation of the AI system to detect anomalies or potential impacts on stakeholders, or non-compliance with relevant legal requirements.<\/p><p class=\"p1\">6) If any issues are found, the users of the artificial intelligence system must report them to the Assistant Artificial Intelligence Management Administrator (AIMA) for acknowledgment. Furthermore, the agency that owns the artificial intelligence system is required to systematically maintain event logs, as well as documents related to the installation and operation of the artificial intelligence system, and retain such data for an appropriate duration in accordance with the system's objectives, internal policies, and data retention laws, for the purpose of retrospective auditing or referencing in the reporting of concerns.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.10 Third-Party and Customer Relationships<\/strong><\/p><p class=\"p1\">The AI system core management working group must establish a procedure for managing relationships with third parties and customers related to the artificial intelligence system (AI system third-party and customer relationships management procedure), as well as review and update such documentation to keep it current.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.10.1 Allocation of Responsibilities<\/strong><\/p><p class=\"p1\">1) The owner of the artificial intelligence system must appropriately allocate the scope of responsibilities to relevant stakeholders throughout the artificial intelligence system's lifecycle\u2014such as partners, suppliers, customers, or other concerned parties\u2014by considering their roles in data provisioning, algorithm development, utilization, or managing the impacts generated by the artificial intelligence system.<\/p><p class=\"p1\">2) The AI system owner agency and\/or the AI system development agency must provide relevant documentation to users and stakeholders in accordance with Section 6.6.2 \u2013 7) and Section 6.8 \u2013 2). Furthermore, in cases where Personally Identifiable Information (PII) is processed, they must determine their role as a data controller, data processor, or both, to ensure full compliance with data privacy and security requirements.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.10.2 Supplier Relationships<\/strong><\/p><p class=\"p1\">1) The Artificial Intelligence Management System Core Working Group must establish guidelines for managing external service providers related to artificial intelligence systems, focusing on ensuring that the procurement of products, services, or various components from external service providers is conducted responsibly and in alignment with the company's guidelines for the development and application of artificial intelligence systems.<\/p><p class=\"p1\">2) The AI system owner agency must assess the types of external service providers and the level of potential risks to use as criteria for selection, establish requirements for external service providers, and determine the level of ongoing monitoring, especially when utilizing external off-the-shelf AI systems or system components.<\/p><p class=\"p1\">3) If it is found that artificial intelligence system components from external service providers fail to function as intended or may cause negative impacts on the company, individuals, or society, the external service providers must be required to take corrective action immediately, and the continuation of collaboration must be considered to improve the system in alignment with the company's policy.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>6.10.3 Customer Relationships<\/strong><\/p><p class=\"p1\">1) The AI Management System Core Working Group must establish guidelines for responsible customer relationship management, taking into account customer needs, expectations, and safety in the development and application of artificial intelligence systems.<\/p><p class=\"p1\">2) The AI system owner agency must understand customer requirements from the design and development stages through to the provision of the AI system, while also preparing clear terms of use and defining joint roles and responsibilities between the company as the service provider and the customer as the user.<\/p><p class=\"p1\">3) If it is found that the customer's use of the artificial intelligence system may pose risks or cause impacts, the AI system owner agency will notify the customer of the information or appropriate control measures to enable risk management, such as explaining system limitations within each scope of use, as well as delivering necessary documents and information in accordance with international standard guidelines.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>7. Penalties for non-compliance with the artificial intelligence policy<\/strong><\/p><p class=\"p1\">If any employee, worker, operator, or contractor of the company fails to comply with this policy, it may result in a violation and disciplinary action in accordance with the company's rules, regulations, or announcements, or pursuant to the terms of the employment agreement, depending on the case and the relationship the user has with the company, and may also be subject to penalties under applicable laws, regulations, or orders.<\/p><p class=\"p1\">Executives and line supervisors are responsible for overseeing and controlling subordinates to strictly comply with the company's policies, conditions, and requirements. In the event that a subordinate is found to have committed a violation, the supervisor must take action in accordance with the company's regulations, rules, or announcements. Omission or failure to perform this duty is considered an offense equivalent to that of the direct offender.<\/p><p>\u00a0<\/p><p class=\"p1\"><strong>8. Policy Exceptions<\/strong><\/p><p class=\"p1\">In the event of constraints in complying with the Artificial Intelligence Policy, any exceptions to the requirements of this policy that do not impact compliance with applicable laws, rules, and regulations, and do not adversely affect individuals and society, must be submitted to the Artificial Intelligence Management System Steering Committee (AIMS-SC) or the Artificial Intelligence Management Representative (AIMR) for consideration and approval of the exception.<\/p><p class=\"p3\">The request for an exception approval must specify the relevant artificial intelligence system, the reasons and limitations for requesting an exemption from the potential risk analysis, the effective period of the exception, and any other control measures or plans established. This request shall be made on a case-by-case basis as circumstances arise.
